Postby MediumD » Wed Oct 07, 2009 11:50 am

We're hosting a massive LAN up in York next month. Even if you can't come I'd like to say a big 'hi' to you guys from up here! Hope to see you in the future.

Physics Exhibition Centre Event - 14th to 15th November 2009

This academic term we are hosting a LAN party with a capacity of a whopping 150 places, and since Fragsoc usually takes 60 at the very most, we are opening up this event to all university gaming societies - we hope students from all over the country will come along and help to strengthen the UK student gaming community, following the lead of many student communities abroad.

Booking

Booking will be done electronically, and booking a ticket will require a name, e-mail and a small down payment of a few pounds to secure the place. This deposit gives everyone the best opportunity to guarentee a place for themselves, however the fee will go towards the ticket price of £10 (so £8 on the day).
The electronic booking service is currently closed, but we will open it within the fortnight. We will send out emails & forum posts when the time arrives.
60 of the 150 places will be reserved for Fragsoc members, leaving 90 free.

Venue & Facilities

The venue will be the Physics Exhibition Centre on the campus of the University of York. Click to see:
Google map of location of our Union building (it is adjacent to the venue & next to the parking) Map of the campus

Venue facilities:

* 6 campus catering halls/cafes serving hot meals, sandwiches & drinks
* 5 campus bars, open to non-students, open 'till midnight, bouncers on hand during term
* 2 village pubs 5 mins from campus, serving well-priced food & drink all day (food service usually ends by 8-ish)
* 1 Cost-Cutter convenience store on campus, medium size, licensed, sells most super-market goods & foods
* Discounted pizza delivery
* ATMs all over campus
* Toilets in the venue & all around campus
* Free car parking available next to venue, patrolled & monitored by security 24 hours a day
* Heavy-duty luggage trolleys to transport equipment around campus
* Bus route direct from train station to campus, 1 every 20 mins, day pass approx. £3.70
* Showers TBC

A map of these facilities will be produced for distribution at the event.
You can see pictures of the venue here.

Schedule

The event is to start at 12pm on Saturday 14th November and continue overnight until 6pm Sunday 15th November.
Our event schedules are organised quite close to the event when we have a better idea of which extra facilities we can use for gaming (e.g. giant projectors), and which prize-tournaments we will be running. A detailed schedule will be sent out roughly a week before the event.

Our LAN Equipment

* Gigabit network
* 100 Megabit internet
* 2 game servers (you're welcome to bring your own game server, we'll put it on the network for free)
* 1 internet server
* 150 network slots & power sockets
* Unlimited network cables
* Padded chairs
* 90cm desk space per person
* Social console room with large projectors + a 360 + Wii provided

Accommodation & Sleeping

Fragsoc is an overnight event, and as a large number of people play throughout the night we cannot provide permanent accommodation during the event, however there will be a designated resting area in the building that will be made available for people to sleep.

For those travelling long distances who will need accommodation on Friday and Sunday nights, we unfortunately cannot use University visitor accommodation (it is being used for students waiting for rooms still under construction...), however York has an abundance of competitively priced hostels, hotels and B&Bs, many within a 15 minute walk of the campus. These are easily found online.

What will I need to bring?

* Gaming-grade PC desktop or laptop
* Monitor (no limit on size, though we trust people to use their common sense. Many Fragsoc members have 30" screens, which are fine)
* Kettle leads + DVI connectors for any equipment (we have very few spares)
* 4-way power adapter (again we have very few spares
* Mouse (we advise bringing a mousemat, just in case the tables are too rough)
* Keyboard
* Headphones(Speakers are prohibited) (We recomend a mic too, to best enjoy the LAN atmosphere)
* Game + OS Disks (incase reinstall is required)
* Roughly £20 for event fee & pizza, plus change for the pub/local store/extra meals
* Snacks + Caffeinated Drinks (No alcoholic drinks in venue, no meals/messy food either, light snacks allowed)

You're welcome to bring extra computers & hardware, but please when you arrive let our power & network boss (JLH) know before you plug them in, especially if they are power-hungry.
Also we respectfully ask you to only bring 1 monitor. Dual screening is fab e-peen at a LAN, but we limit this to our LAN game admins.

Sponsors

Fragsoc is proud to be sponsored by SteelSeries & Crucial Memory, and they will be providing prizes for this event. We are also in touch with other industry leaders in other specialty areas of the market, and they will be announced as and when they are confirmed.

Please don't hesitate to ask us any questions either email us at fragsoc@yusu.org or post on our forum here.

Hello!

Sorry for the lack of news these past couple of weeks - we've been rushed off our feet with our Fresher's Fair and our first LAN last weekend. If that was anything to go by we should have 70+ attendees from York and ex-York students.
We know it's only a couple of weeks till the FragSoc LAN of the 14th, so we've scrapped the electronic booking fee. It's original purpose was to prevent block bookings rather than make money, and since we are so close to the event we can't see a purpose in having it.

However York university administration wants a list of attendees for security, which we would need to have by Thursday 12th November to submit to the university office on Friday. If you do come, please send us your name, address and contact number in an email to fragsoc@yusu.org. All information will be deleted immediately after the LAN event.

Hope to see some of you soon!
